The AI can only book appointments during times you’ve marked as available. Getting this right before your first lead comes in is important.
Video walkthrough coming soon - we’ll show you exactly where to click in under 3 minutes.

Setup Steps

1

Accept your CRM invite

Check your email for an invite from noreply@replies.acct-mgmt.com and accept it. This gives you access to your CRM account.
2

Open your calendar settings

In the CRM, go to Settings → Calendars and open your calendar.
3

Set your available hours

Under Availability, select which days you take appointments and set your working hours for each day.A few things to set:
  • Available days - which days of the week you take calls
  • Available hours - your working hours per day (e.g. Mon–Fri, 9 AM – 5 PM)
  • Appointment duration - how long each call is (30 min, 45 min, 1 hour). We recommend leaving this at the default setting.
  • Buffer time - optional gap between appointments. We recommend leaving this at the default setting.
4

Connect Google or Outlook

Go to Settings → Integrations and connect your Google Calendar or Outlook. Choose Two-Way Sync so personal events in your external calendar automatically block off time in the CRM - this prevents the AI from booking you during personal appointments.
5

Save your changes

Save everything and head back to your onboarding dashboard to mark this step complete.
The more available you are, the better this works. The AI can only offer times your calendar has open - if you have a narrow window, leads will have fewer options and some won’t book. Wide availability = more appointments.

Tips

  • Block your lunch. If you don’t want midday bookings, block a recurring lunch slot.
  • Check your timezone. A misconfigured calendar timezone is the most common reason contacts get called at the wrong time. Make sure your CRM calendar timezone matches where you actually are.
  • Block personal time. Vacation days, doctor appointments - if it’s in your Google/Outlook calendar, it’ll automatically block in the CRM once sync is connected.
If you skip setting your available hours, the AI will tell contacts there are no available times. Do this before your first lead comes in.
