Every lead goes through the same process. Here’s the full flow.

1. New Lead Comes In

When a lead is created in your CRM:
  • Their timezone is automatically detected and set
  • They enter the Initial Follow-Up Sequence

2. Initial Follow-Up Sequence

  • 15 texts sent over ~10–12 days
  • Only sent during 8 AM – 8:30 PM in the contact’s timezone
  • Goal: get the lead to respond
Once they reply, the AI takes over automatically — no action needed on your end. The handoff from the text sequence to the AI conversation happens instantly the moment a lead responds.

3. AI Conversation

Once a lead responds, the AI handles the conversation from there. It:
  • Responds instantly, 24/7
  • Answers general insurance questions
  • Handles objections and follow-up questions
  • Books, reschedules, and cancels appointments
The goal is to get the lead on your calendar.
As an insurance agent, the highest intent lead is the one that books directly on your calendar and expects you to be calling them at their desired time. A booked appointment isn’t just a meeting — it’s a lead who raised their hand, agreed to a time, and is expecting your call. That’s what the AI is optimized to produce.

4. Appointment Booked

Once an appointment is booked - by the AI, by you, or by the contact - the system automatically sends:
  • Confirmation text immediately
  • 24-hour reminder
  • 1-hour reminder
  • 5-minute reminder
No manual action needed.

5. No Show → Reschedule Sequence

When you mark an appointment as No Show, the system automatically sends:
  • 3 texts + 1 email over 3 days
  • Goal: get the lead rescheduled

6. Didn’t Close Follow-Up

When you set the lead status to Didn’t Close:
  • 5 texts over ~22 days

7. Follow Up Needed

When you set the lead status to Follow Up Needed:
  • 9 texts over ~41 days

8. AI Left on Read

If the AI sends a message and the lead doesn’t respond:
  • Follow-up after 24 hours
  • Another follow-up after 24 more hours
