What Happens After You Mark as Sold

  1. You receive a notification - you have 40 minutes to enter policy details
  2. After 40 minutes - if you’ve entered policy details, the system sends them to the client via text and email
  3. All messaging stops - the AI is turned off and the lead is removed from all automations
  4. After 7 days - the system sends a referral request to the client

Entering Policy Details

Open the contact

Find the contact in your CRM.

Go to All Fields

In the left panel of the contact record, click All Fields.

Scroll to Policy Information

Scroll down to the Policy Information section and enter the policy details there.
You have 40 minutes to enter policy details. If you miss the window, nothing gets sent to the client and the AI will not be turned off - the lead will keep receiving automated texts. Make sure to fill in the policy details before time runs out.
When you enter policy details, the close is logged and tracked in your dashboard. You can view your closing rate and appointment outcomes over time there.

Holiday Follow-Up

When a lead is marked Approved / Sold, they’re automatically enrolled in a holiday follow-up sequence. Over the next year, the system sends them a text on each major holiday as a touchpoint. Holidays covered:
  • New Year’s Day
  • St. Patrick’s Day
  • Easter
  • Labor Day
  • Veterans Day
  • Halloween
  • Thanksgiving
  • Christmas
  • Birthday 🎂 (see note below)
Every contact you close will automatically receive a holiday text for each holiday above that you have a date set for. Here’s what you need to know:
  1. The first year of holiday dates is set up for you when your account is created
  2. When a contact is marked Approved / Sold, they’re queued up for each holiday text
  3. On each holiday, the system sends the text automatically — no action needed
  4. After each holiday passes, you’ll receive an SMS reminder to update that date for the following year. Go to Settings → Custom Values → Folders → Holidays and change the year for that holiday
If a contact is sold after a holiday has already passed for the year, they won’t trigger a reminder for it. Check Settings → Custom Values → Folders → Holidays at the start of each year and update any dates that have already passed to make sure no holidays are missed for recently closed contacts.
New Year’s text: The New Year’s message includes the year in the text, so you’ll also need to update the snippet each year. Go to Marketing → Snippets → Folders → Holidays, find the New Year’s snippet, click the three dots, select Edit Snippet, update the year, then save.
If the dates or the New Year’s snippet are outdated, those texts won’t go out correctly. Follow the SMS reminders as each holiday passes, and do a full review at the start of each year.
Birthday follow-ups use GoHighLevel’s built-in birthday action. As long as you set the contact’s birthday in their contact details, they’ll automatically receive a birthday message. 🎂
